Maintaining Functions and FIDs

Permissions, access, and functionality within Civic Platform are mostly controlled through the use of Function IDs, also called FIDs. You set many FIDs at the agency level. FIDs control whether a screen is available, whether a button is available, and can restrict certain functions to supervisors within a user group. Many FIDs have cascading effects; so you should be certain you understand the scope of an FID before enabling or disabling it.

This section specifically defines how to modify an FID for the agency; however, the same principles apply, and the procedure is similar when modifying an FID for a user group or for a single user.

Editing Agency Functions

The Accela implementation team gives you all the appropriate basic functions contained in the release when they create your agency. Do not change the basic functions. Use this feature only to enable or disable optional functions for your agency.

To change permissions for user groups or individual users, select Administrator Tools > User Profile > Groups or Administrator Tools > User Profile > User.

To edit agency functions

  1. Select Administrator Tools > Agency Profile > Agency Functions.

    Civic Platform displays the Agency Functions—Search page.



  2. Enter all or part of the agency code.

  3. Click Submit.

    Civic Platform displays the Agency Functions—Browse page.



  4. Click the link for the combination of agency, release, and module you want to work with.

    Civic Platform displays the Agency Functions—Edit page.



    This form contains all the functions available the selected module of Civic Platform.

  5. Update the necessary fields as described in Table 1.

  6. For each function, select whether users of the agency and module should have full access, read-only access, or no access to the function.

  7. Click Save.

    Civic Platform saves your changes.

    Function Group Select or clear the check boxes to indicate whether the function group should be available to the agency and module you selected.
    Function Type Select or clear the check boxes to indicate whether the function type should be available to the agency and module you selected.
    Function Subtype Select or clear the check boxes to indicate whether the function subtype should be available to the agency and module you selected.
    Function Category Select or clear the check boxes to indicate whether the function category should be available to the agency and module you selected. Function categories are further divisions of function subtypes.
    Function Name Select or clear the check boxes to indicate whether the function should be available to the agency and module you selected.

Viewing Functions

You can view details on each function within Civic Platform. Throughout this guide and throughout Civic Platform, we refer to functions by their Function Identification (FID) numbers. Each release of Civic Platform has a defined set of FIDs.

Civic Platform organizes functions by function groups. Within each function group are function types. Each function type contains function subtypes. If you need to categorize functions subtypes into smaller groups, you can use function categories. Every function has a function name and function version.

This function is for reference only; do not attempt to change any information without direction from Accela Services personnel. Changing this information can prevent Civic Platform from functioning properly.

To view a function

  1. Select Administrator Tools > Agency Profile > Function.

    Civic Platform displays the Function—Search page.



  2. Enter search criteria in the fields.

  3. Click Submit.

    Civic Platform displays the Function—Browse page.



  4. Locate the function you want to view and click the red dot next to it.

    Civic Platform displays the Function—Edit page.



  5. Review the fields that describe the agency as described in Function Details.

    Display Text A description of the function.
    Function Name A short description of the function.
    Function Version Identifies the function release version.
    Function Group This identifies whether the function is an administrator, daily, or reporting function.
    Function Type Identifies the major feature that the function supports. These features are typically the main-level menus that appear throughout Civic Platform, such as Application or Workflow.
    Function Subtype Identifies a more specialized function within the function type.
    Function Category Function Category represents a specialized function within a function subtype. Civic Platform uses Function Category very infrequently, because most functions fit within three levels.
    URL Identifies the address of the page containing the function. When you select this function in Civic Platform menu, Civic Platform calls this URL for the function.
    Display in User Group Indicates whether the function is visible to general users.
    Description Provides any comments about the function.
    Status Indicates the enabled or disabled status.
